OBJECTIVE OF THE ASSESSMENT

Without a clear plan, problems may go unnoticed until they become bigger issues, and resources like time and materials may be wasted. - For this assessment, each group is to assume that they have been appointed by their organization to carry out an event focused on the theme of the circular economy. A circular economy is a way of using things that helps reduce waste. Instead of using something once and throwing it away, the goal is to reuse, repair, recycle, or remake it so it can be used again. This helps save resources, protect the environment, and reduce pollution. It is about making the most of what we already have, instead of always making new things.
- Therefore, you are required to prepare a plan, to discuss with the management in order to obtain their approval to proceed with the proposed event. For this discussion, your group has decided to include an event flow chart to help the management better understand your overall plan.
- Before making an event flow chart, it is important to be well-prepared so that the chart accurately shows how the event will run. Students may refer to the following steps:
a) Start by clearly understanding the main purpose of the event and who the audience is, because this will guide how the event is planned.
b) Then, list all the important activities or steps needed for the event (from preparation and setup to the actual program and closing). Think about the order in which these steps should happen, so the event flows smoothly.
c) Next, assign tasks to the right team members so everyone knows their responsibilities.
d) You should also mark any decision points in the process, such as getting approvals or waiting for confirmation from others.
e) It is also useful to estimate how much time each activity will take and to gather helpful
materials like schedules, checklists, or contact details.
- You may refer to the sample event flow chart provided below for your reference. This is a simple version of the flow chart. Students may search the internet for more detailed, creative, and informative examples of event flow charts.
- For the creation of this event flow chart, students are free to use any application that facilitates the process. Students may choose to use PowerPoint, Microsoft Word, Canva, or any other application students are comfortable with. This flexibility is intended to encourage creativity and to make the process of developing the event flow chart more convenient for the students.
